Information for Hotels and
Room Setup Instructions

Important!!!
This document presents important information for aLigra System seminars and workshops. Please do not deviate from these requirements unless agreed to in writing by the aLigra Systems representative. aLigra Systems cannot be responsible for facilities which do not meet these requirements. Thank you for your cooperation.

Meeting Room Requirements

Proper room setup is essential for a successful training activity. Please follow these instructions unless other arrangements have been made. Thank you!

The following items refer to numerical designations on the illustration:

(1)	Two projection screens 9'x9' positioned as shown. Please assure that screens are adjusted to their full height. Please remove any ceiling light bulbs which interfere with the projected images.
(2)	6’x2.5’ skirted table at front of room. No water pitchers, glasses or other service items to be placed on this table.
(3)	Waste basket (minimum 5 gal size).
(4)	Overhead transparency projector, high intensity, placed at end of table. We do not use separate projector stands or tables. Please assure spare lamps are available for the projector. Please assure the projector lenses are cleaned.
(5)	Two 6’x2.5’ tables are positioned end-to-end, as shown, with a single skirt. No water pitchers, glasses or other service items to be placed on these tables.
(6)	Computer display projector is placed at end of table. We do not use separate projector stands or tables. Projector must be SVGA compatible suitable for high resolution, full motion video display. Please assure spare lamps are available for the projector. Please assure the projector lenses are cleaned.
(7)	All electrical wiring must be completely taped to the floor. All electrical connections are concealed under the tables. Please assure one available power-strip (6 available outlets) for accessories.
(8)	Student tables are 6’x2.5’ with skirts positioned as shown.
(9)	Catering area.

General Requirements

Room should be located in a quiet area free of noise and distractions from adjacent meetings or public traffic.
Room setup should be completed no later than the afternoon prior to first class day.
Room will be in use from 7AM to 6PM daily.
Room is to be secured when not in use.
Message area and telephones should be located outside of the meeting room.
All shipping materials should be placed out of sight.
Remove all ashtrays from the room.

Registration Area

Two skirted 6'x2.5' tables should be setup outside of the meeting room.
Please provide two chairs and one waste basket.
Registration area is to be setup by 6AM of the event day.
All shipments are to be delivered to the registration area by 6AM of the event day.

Catering Service

All catering service to be provide inside meeting room.
Menu items as specified in contract.
Breakfast served continental-style 7AM-9AM.
Morning Break at 10AM.
Lunch served in room 11:30AM.
Afternoon Break at 2PM.

Billing Information

Each aLigra event must have a separate master bill and invoice.
On-site administrator is authorized to post charges to master bill.
Master bill must be available by 3PM on last event day.
